Instructions: Using the Knowledge Transfer Planner
With the Knowledge Transfer Planner, you can organize the transfer of knowledge from departing key personnel in a structured and efficient way. This tool helps you create a handover roadmap with key milestones and deadlines.
How the Application Works

1. Identify the Key Person:
In the “Departing Key Person” field, enter the name of the individual whose responsibilities are to be handed over. -
2. Capture Core Tasks:
Enter each critical task of the key person on its own line in the “Core Tasks” field.
Tip: The more precisely you describe the tasks, the clearer the handover roadmap will be. -
3. Select the Timeframe:
Specify the start date of the handover phase (“Handover Start”) and the departure date of the key person. Tasks and milestones will be scheduled between these dates. -
4. Generate the Roadmap:
Click “Generate Roadmap.” The tool will automatically create a structured handover plan for each task with the following phases and deadlines:- Documentation Completed
- Shadowing Completed (successor shadows the role)
- Trial Phase Passed (successor performs independently)

5. Use the Results:
After submission, you’ll see a table showing all tasks, their milestones, deadlines, and current status (pending, today, overdue).
Tips for a Successful Knowledge Transfer
- Capture every critical task. Don’t miss anything!
- Use the generated data as the basis for regular handover meetings.
- Document any questions or special considerations in writing, too.
- Stick to deadlines—the status indicator helps you stay on track.

Totally agree with what @MartinQ said about people underestimating how tricky good knowledge transfer is. Way too often stuff just gets "dumped" as files somewhere but nobody explains the little details you really need for your job. Maybe having an actual planner will help teams keep track of what actually matters instead of just ticking boxes.

i dont get why ppl dont just use group chats for this stuff, if u ask there u get way more anserws then waiting for any documments or fancy plans 2 be made.

Lol this is so weird to me, my last job they just sed 'training will be on tuesday' & then never acshully did it, just handed us sum links. Planner mite help but like if ppl dont wanna share, they jus wont right? Not sure how yu make peeps actully explain stuff unless theres free pizza or something XD

Idk but like i dont think just using a planner is enuff becus usually ppl just stop updting it n then stuff gets lost agan like in my old job when every1 still emailed documants all over.

ok ok so like is this articel about like making BIG plans for mving old knoledge to new pepol…??? Sorry if Im missing the piont but like someone in comments was sayign files just get dumped all over which yeah lol sounds about right at my companey, nobdy actualy tells me ANTYHING just “look it up” like ok how, its all old stuff frm 2016. I remembr wen we had this new guy start and they jsut give him a few old docs, he went and did completly wrong job, boss was made but it wsnt his falt! Or is it fault? Im not even sure lmao. So planners would be cool but who is ACTUALLY going to keep updating them? In my exp, every1 just kind of forgets projects after there done, its like 1 week everythings hyper and then all DEAD. Not to mention if plannr is just one more list that gets forgot wat good is it?? Also not sure if this is same as like “mentoring” becaus my uncle always said you need "a shadow" on the job but never had taht. Are planners supose to replase actual training or is it just like more paperwok?? Wild to me how many comments act like peopl want to use this sruff, honestly i think most of us just hope to get by til home time lol.
