Competency Matrix Editor – Instructions for Use

The Competency Matrix Editor helps you systematically capture your team’s skills and make competency gaps visible. This guide walks you step by step through using the tool.

    Step-by-Step Guide

    • Add team members to the matrix:
      • Enter a team member’s name in the “Add team member name” field.
      • Click “Add” to include the person in the matrix.
      • Repeat this for all relevant members of your team.
    • Enter skills/competencies:
      • Type a skill or competency (e.g., “JavaScript,” “Communication,” “Project Management”) into the “Add skill” field.
      • Click “Add” to include the competency in the matrix.
      • Add additional competencies as needed.
    • Assign competency levels:
      • The matrix displays rows with team member names and columns with skills.
      • For each person and each skill, select a competency level (1 to 5) in the corresponding cell:
        • 1 (Missing): Minimal or no competency
        • 2–4: Levels from basic knowledge to advanced proficiency
        • 5 (Expert): Very high competency or subject-matter expert
      • Selecting a value colors the cell according to a heat map, making gaps (red), mid-levels (yellow), and strengths (blue) immediately visible.
    • Interpret and use the matrix:
      • Refer to the color-coded cells to identify competency gaps (red cells/level 1), strengths and expertise (blue cells/level 5), and development potential in your team.
      • Use this overview to plan targeted training, knowledge transfer, or team development activities.

    Tips for Successful Use

    • Enter all relevant team members and competencies initially—the matrix will grow dynamically as needed.
    • Regularly update competency ratings, for example after training sessions or project completions.
    • Export or share the matrix for meetings or development discussions (export may be done manually via screenshot or copy & paste).

The Competency Matrix Editor creates transparency within your team and provides valuable insights for targeted skill development.
