Knowledge Loss Risk Calculator – Instructions for Use

The Knowledge Loss Risk Calculator helps you transparently capture and proactively prevent the risk of knowledge loss among your company’s key personnel. By entering essential factors in a structured way, you receive a prioritized overview via a color-coded risk heat map.

    Step-by-Step Instructions

    • Select a Key Person:

Decide which employee or position in the company you want to analyze. Include every person whose departure would pose a risk to critical know-how.

    • Enter Data for Each Person:
      • Name of Key Person: Enter the full name or a clear identifier for the individual.
      • Age: Record the current age (between 16 and 75 years).
      • Resignation Probability (%): Estimate the likelihood of leaving as a percentage (e.g., based on surveys, turnover statistics, or subjective impression).
      • Know-how Criticality: Choose a rating from 1 (low criticality) to 5 (high criticality), depending on how essential the person’s knowledge is to your processes.
    • Add Person to the List:

After filling in all fields, click Add to include the person in the analysis.

    • View Results in the Heat Map:
      • All entered persons appear in the table.
      • The Risk Score column shows a calculated numeric value for each individual, derived from resignation probability, criticality, and age.
      • The Heat Map uses colors to indicate risk levels (green = low, blue = medium, yellow = high, red = very high).
      • The Comment Section below the table summarizes the current risk situation in plain language.
    • Manage Entries:

Remove any key person from the table by clicking the X icon (red button).

    Recommended Next Steps

    • Use the Analysis: Leverage the heat map and comments to prioritize your knowledge retention measures (e.g., succession planning, documentation, training programs).
    • Update Regularly: Keep the data current to spot changes early and take targeted action.

Tip: Consistently capturing and evaluating these risks increases transparency and security in your personnel strategy and significantly reduces the chance of unexpected knowledge loss.
